Roles and permissions
See what each role in your firm can do, give people the right role, and create or edit roles to fit how your firm works.
How roles work
Every person in your firm has one or more roles. A role is a set of permissions, and the permissions decide what the person can do in Chronica. You choose roles when you invite someone, and you can change them at any time.
Two things hold for every role:
- Everyone sees the matters they're on.
- People with the Admin role see every matter in the firm, and can change firm settings and workflows. They also manage the team, the firm profile and the audit log.
See what each role can do
- Open Settings, then Team & roles.
- Scroll to What each role can do.
The table has a column for each role and a row for each area of the app. A tick means the role has permissions in that area.
To see the permissions one by one, click Edit roles. This opens Roles & permissions, where each permission has its own row, grouped by area.
Change someone's role
If the person has one role, choose a new one from the list in the Role column on Team & roles. Chronica saves it straight away.
If the person has several roles, or you want to make them an admin:
- Click Manage on their row.
- Choose Change roles.
- Add or remove roles under Roles.
- Click Save roles.
If you take the Admin role away from someone, they can no longer manage the team, the firm profile or the audit log. Chronica warns you before you save.
Create a role
- On Roles & permissions, click New role.
- Enter a Role name, for example "Senior associate".
- Under Permissions, choose what people with this role can do. Pick at least one.
- Click Create role.
The new role is ready to give to people straight away.
Edit or delete a role
- On Roles & permissions, click the role's name at the top of its column.
- Choose Edit role to rename it or change its permissions, then click Save changes.
- Or choose Delete role, then confirm with Delete role.
Deleting a role can't be undone. Anyone who had it loses the permissions it gave them.
Some roles are shared by every firm on Chronica. Their menu says Shared by every firm, can't be changed. You can still give them to people.
Questions
Who can change roles?
Only firm admins. Everyone else sees the roles on Team & roles but can't change them.
Someone joined through an invite link and can't do anything
People who join through a shared link have no role. Give them one from Team & roles.
What about people who have left?
Click Manage on their row and choose Deactivate. They can no longer be assigned work and no longer show up when you pick people, and their history stays. You can Reactivate them later with the roles they had.
