Keep matter notes
Record calls, attendances and research on a matter, mention colleagues, set a next action date, and add a follow-up task or billable time as you save.
Write a note
- Open the matter and click the Notes tab. The note box is at the top.
- Give the note a Title, for example "Call with client re: settlement offer".
- Write the note: what happened and what's next.
- To bring a colleague in, type @ and choose their name. They get a notification when you save the note.
- Click Save note. You can also press Ctrl+Enter, or Cmd+Enter on a Mac.
The note goes to the top of the list under the box, with your name on it. Notes are for your firm; they aren't shown to the client.
Set a next action date
Click Next action date under the note and pick the date you need to come back to it. The date shows on the note in the list. Click Clear date to remove it.
Add a follow-up task as you save
If the note leads to work, add the task in the same step.
- Click Add task under the note. A Follow-up task section opens.
- Fill in the task's title, due date, priority, status and assignee.
- Click Save note. The note and the task are saved together.
Click Remove to drop the task before you save. To learn more about tasks, see Assign and track tasks.
Log billable time as you save
Tick Log under the note, enter the hours, and save. Chronica records that time as billable on the matter for today, with the note's title as its description. See Log time and expenses.
Read and edit notes
- Click a note in the list to open it in full.
- Click Edit note to change the title, the note or the Next action date (optional).
- Click Save changes.
When someone other than the author edits a note, the list shows "edited by" and their name.
Use a next action date for something you need to look at again yourself. Use a follow-up task when someone has to do a piece of work by a date, so it shows on their task list and calendar.
