Assign and track tasks

Add tasks to a matter, give them to a colleague with a due date and reminders, and follow them through to done.

Add a task quickly

On a matter's Tasks tab, use the bar at the top.

  1. Type what needs doing, for example "Serve hearing notice on defendant".
  2. Click Assign to choose who does it. It's you unless you pick one of the matter's lawyers.
  3. Click Due to pick a date, or leave it as none.
  4. Click Add.

Add a task with more detail

  1. Click Add task in the matter's header. You can also click New in the top bar and choose Task on this matter, or Task to add one from anywhere.
  2. Enter a Title and, if useful, a Description (optional).
  3. Pick a Due date (optional). You can type phrases like "Friday" or "In 2 weeks".
  4. Choose the Priority (Low, Medium or High) and the Status.
  5. Choose the Assignee. Every task needs one.
  6. To nudge the assignee, click Add reminder and set how long before the due date, and how. You need a due date first.
  7. When adding from outside a matter, link it under Matter (optional) if it belongs to one.
  8. Click Add task.

The assignee gets a notification in Chronica telling them who assigned the task, which matter it's on and when it's due.

Track tasks on a matter

The Tasks tab groups tasks into Overdue, This week, Later and Completed. Filter with the chips at the top: All open, Mine, a colleague's name, or Completed.

  • Tick the box beside a task to mark it done. Tick it again to reopen it.
  • Switch to Board to see a column for each status, and drag a task to change its status.
  • Click a task to open it. You can change its details, and add comments for the team.

The matter's Overview shows the next five open tasks on the Open tasks card.

Your tasks across all matters

Open Tasks from the main menu to see work from every matter, enquiry and the firm in one list, grouped by when it's due: Overdue, Today, This week, Later and No due date.

Use the views at the top:

  • Mine: tasks assigned to you
  • Assigned by me: tasks you gave to others
  • Whole firm: everyone's tasks
  • Done: finished tasks

Click a task to open it beside the list. There you can change the priority and status, add a Checklist of smaller steps, and leave Comments. Type @ in a comment to mention someone.

Tasks that create themselves

Some tasks are added for you. A matter template can add starter tasks, and a stage with a time limit adds a deadline task when the matter enters it. A note can also carry a follow-up task: see Keep matter notes.

Questions

Can I give one task to two people?

No. A task has one assignee. Add a second task, or a checklist item, for the other person.

Why can't I add a reminder?

Reminders count back from the due date. Set a Due date first, then click Add reminder.
