Cancel or move a hearing
Change a hearing's date, time or court, or cancel it, and choose whether Chronica emails the client about the change.
Which one do you need?
| What happened | What to do |
|---|---|
| The court has given a new date before the hearing day | Edit the hearing and change the date |
| The hearing is off and no new date is set | Cancel the hearing |
| You went to court and it was adjourned to a new date | Record the outcome as Adjourned, with the next date |
| The day came and the court didn't sit | Record the outcome as Vacated |
You can only edit or cancel a hearing that is still scheduled. Once an outcome is recorded, or the hearing is cancelled, these options go away.
Move a hearing
- Open the matter and click the Court tab.
- Find the hearing and click Edit.
- Change the Date, Time or Court. You can also correct the courtroom, judge, purpose, attending lawyers or notes.
- If the date, time or court changed, Email the client about the change appears. Leave it ticked to tell them the new details. Untick it for a small correction they don't need to hear about.
- Click Save hearing.
The client's email is headed "Your hearing has moved". It gives the new date, time and court, shows the old date struck through, and says whether they need to attend and what to bring. It asks them to ignore any earlier reminder for the old date.
When the date or time changes and reminders are on for the hearing, they start again for the new date, so the client is reminded 7 days and 1 day before it.
Cancel a hearing
- Open the matter and click the Court tab.
- Find the hearing and click Cancel hearing.
- Leave Email the client ticked to tell them the date is off, or untick it.
- Add a Reason in plain words if you like, for example "The judge is on leave". It's shown on the hearing and included in the client's email.
- Click Cancel hearing. To go back without cancelling, click Keep hearing.
The hearing comes off the calendar, and the client gets no more reminders for it. On the Court tab it stays in the list, marked Cancelled, with the reason.
The client's email is headed "Your hearing on" the date "has been cancelled". It tells them they don't need to go to court that day, that you'll tell them the new date once the court sets one, and why it was cancelled if you gave a reason.
A cancelled hearing can't be changed or restored. If the court later gives a new date, add a new hearing.
When the client isn't emailed
- The option to email the client only appears for a hearing that hasn't started yet. After that, there's nothing to warn them about.
- If the matter has no client email address, the form says so and the email is skipped.
- If you turned off reminders for this hearing, the move email is unticked to start with. You can tick it.
Every email Chronica sends, or skips, is listed in Settings, under Workflows, then Automation history.
Questions
Does moving a courtroom count as a move?
No. Changing only the courtroom, judge or notes doesn't offer an email to the client.
Can I cancel a hearing from the calendar?
No. Click the hearing on the calendar to open the matter's Court tab, and cancel it there.
