Add a hearing

Put a court date on a matter. It goes into the court diary and onto the attending lawyers' calendars, and Chronica can remind the client before it.

Where to add it

Hearings are added on the matter, so Chronica knows which client to remind. You can't add one from the calendar.

  • Open the matter, click the Court tab, then click Add hearing.
  • On the matter's Overview, click Add hearing on the Next hearing card when nothing is scheduled.
  • With the matter open, click New in the top bar and choose Hearing, or press H.

When you record a hearing outcome with a next date, Chronica adds the next hearing for you.

Fill in the hearing

  1. Pick the Date and enter the Time. Add when it Ends if you know.
  2. Choose the Court. The matter's own court is already in the list. To find another, pick a Location first. If the court isn't in the list, click The court isn't listed and type its name.
  3. Add the Courtroom and the Judge if you know them. Both are optional.
  4. Choose the Purpose: Mention, Hearing, Ruling, Judgment or Other.
  5. Under Attending, add the lawyers going to court. The hearing goes on their calendars.
  6. Add a Note for the team if you like. Only your firm sees it.

Decide what the client is told

The box at the bottom controls the client's reminders.

  1. Leave Email the client a reminder ticked to send them reminders 7 days and 1 day before, with the court and what to bring. Untick it if the client shouldn't be emailed about this date.
  2. If the client has to be there, tick The client must attend. Otherwise the email says their lawyer will appear for them.
  3. Under What to bring, list anything they need, one item per line, for example "A valid ID".
  4. Click Add hearing.
No email address on the matter?

The form says so under the reminder option. Reminders are skipped until the client, a payer or a client contact on the matter has an email address.

What Chronica does next

  • The hearing appears on the matter's Court tab, marked Next, and on the Next hearing card on Overview.
  • It appears on the calendar of each attending lawyer, in the hearings colour.
  • The hearing shows the dates the client will be reminded, for example "Client reminders: 3 Oct and 9 Oct". A tick appears beside each one once it's sent.
  • From the day of the hearing, Log outcome appears on it.

Questions

The date is less than a week away. Will the client still get a reminder?

Yes. The first reminder goes out even though it's less than 7 days ahead, then the 1-day reminder follows. A hearing added less than a day ahead gets one reminder only.

Who can add hearings?

Anyone in your firm who can open the matter.

I made a mistake. How do I fix it?

Click Edit on the hearing. See Cancel or move a hearing.
