Run a conflict check
Check a new enquiry against everyone your firm already acts for or against, record your decision on the lead, and search any names before you take a matter on.
Two ways to check
- On a lead: the check is run for that enquiry, and the result and your decision stay on the lead.
- Conflict search: search any names at any time, for example before you take a call or a referral. You can attach the result to a lead afterwards.
Both search your firm's clients and matter parties. Conflict search also searches leads, and includes closed matters.
Check a lead
- Open the lead from Intake and click the Conflict check tab.
- Under Other parties, add anyone else involved, such as the other side, a director or a spouse. Press Enter after each name.
- Click Run conflict check.
Chronica searches for the lead's name, organisation, email and phone, and any other parties you added. The result shows at the top of the tab:
- Conflict check · no matches: nothing was found and the check is clear.
- Conflict check · 2 possible conflicts (or however many): each match shows who it is, their role and the matter. You need to decide.
To search again with more names, click Run again.
Record your decision
When there are possible conflicts, choose a Decision:
| Decision | What it means |
|---|---|
| Clear | No conflict. The lead can move on. |
| Waived | A possible conflict, accepted with informed consent. A reason is required and kept on file. |
| Conflict | The firm can't act. The lead can't be converted while this stands. |
- Choose Clear, Waived or Conflict.
- Write the Reason. You must give one when you choose Waived or Conflict.
- Click Save decision.
The tab then shows who decided, when, and the reason.
When you confirm a conflict on an open lead, Chronica marks it not hired with the reason Conflict of interest. You can reopen it later if you need to.
When the check blocks conversion
Convert to client stays greyed out while a lead has possible conflicts that no one has decided on, or a confirmed conflict. If the pipeline has a conflict check stage, the check must also be run and come back clear or waived. The reason shows under the buttons at the top of the lead, with a Run conflict check or Review the conflict check link.
Search names with Conflict search
- Open Intake, switch to List and click Conflict search.
- Under People and organisations, add each name. Add an Email or phone or an RC number if you have them.
- Click Search.
The result says No matches, or how many matches there are and how many need attention. From there you can:
- click Download report to save the names searched, the time and every match as a CSV file
- click Attach to a lead, search for an open lead and pick it. The lead's conflict check runs again with these names and is kept on the lead.
Every search is kept in the audit log, with who searched and when.
Questions
Is Conflict search on every plan?
No. If your plan doesn't include conflict search, Chronica shows what it does and which plan has it when you open it.
Does a lead with no matches need a decision?
No. When nothing matches, the check is clear and the lead can move on. You only choose a decision when there are possible conflicts.
