Intake forms
Build an enquiry or intake form, share it by link, on your website or by personal invitation, and turn each submission into a lead.
Create a form
- Open Templates & forms from the menu and click the Forms tab.
- Click New form.
- Give it a Name, for example "Website enquiry", and choose the Kind of form, such as Client intake or Matter intake.
- Add a Line under the title if you like, for example "A lawyer will get back to you within one working day."
- Click Create form.
An intake form starts with questions for full name, email, phone and what happened, ready to become a lead. The form opens in the builder, with the tabs Questions, After submit, Share and Submissions.
Add and arrange questions
- On Questions, pick a type from Add a question: Short answer, Long answer, Email, Phone, Date, One choice, Several choices, Address, File upload or Signature. Click More question types for the rest.
- Click a question to change it in its settings.
- For questions that hold the person's details, set Fills in the lead's… to the matching field, such as Email or Phone. This is how a submission fills in the lead.
- Use Show only when… to show a question only after a certain answer.
- Click Preview to try the form as a client would. Nothing is sent.
Decide what happens after someone sends it
On After submit:
- Write the Thank-you message they see.
- Leave Create a lead from each submission on, and choose the Pipeline and Lead source.
- Turn on Email the firm about each submission and add who to Send to. The email includes every answer.
- Turn on Send the person a confirmation to email them your thank-you message.
- Under Stop accepting submissions, set a closing date if you need one. Leave it empty to keep the form open.
Publish and share
- Click Publish. Until then, the form is a draft that only your firm can see.
- Open Share and choose Who can open it: Anyone with the link, Anyone with the link and a code, or Only people you send it to.
- Copy the link under Share a link to send on WhatsApp or by email, or copy the code under Put it on your website to embed the form on a web page.
- To send it to one person, fill in Send it to someone: Their name, Email and how long the Link works for. Click Send form to email it, or turn off Email the link to them and click Create link to copy it yourself. Each personal link works once.
After you publish, edit the form and click Publish changes to put your edits live.
On a lead, choose Send form in the conversation box, pick a published form and click Send. The lead needs an email address. Their answers show on the lead under Intake answers.
Read submissions
Open Submissions to see every answer people have sent. Click a submission to see its answers and files. Lead created shows when a submission became a lead on Intake.
Questions
Why doesn't my form's link work?
The form must be published. A form that is unpublished or archived can't be opened. To change an archived form, duplicate it from the form's menu.
Can I reuse questions across forms?
Yes. Click Save to library in a question's settings and it appears under From your library when you add questions to another form.
