Import clients

Bring your existing client list into Chronica from a CSV file. Match your columns, check for duplicates and problems, then import in one go.

Before you start

Save your client list as a CSV file. In Excel, use File > Save As and choose CSV. The file must:

  • be a .csv file of 5 MB or less
  • have at most 5,000 clients, one per row
  • have a header row with a name for each column

Your file needs a column for the client's name and a column for their email or phone number. The name can be in a Name, First name or Organisation column.

Start from the template

On the upload step, click Download template for a CSV file with the columns Chronica recognises. The panel Columns we recognise explains each one.

Upload the file

  1. Open Clients and click Import CSV.
  2. Drag your file onto the page, or click Choose file and pick it.

Chronica reads the file and moves you on to Match columns. If it can't read the file, it tells you why, for example that the file is too large or isn't a CSV.

Match your columns

Chronica matches what it can. For each Your column, check the Chronica field next to it and the Sample from your first row.

  1. For any column marked Skipped that you want to keep, choose the right field. Fields include Client type, First name, Surname, Organisation, Name, Email, Phone, the address fields and Client reference.
  2. Leave a column on Don't import if you don't need it.
  3. Check the What will happen panel. Both lines must be ticked: a column for the name, and a column for email or phone.
  4. Click Continue.

Review and import

The review step checks every row and sorts them into tabs: Ready, Duplicates and Problems.

  1. Open Problems to see rows that won't import and why.
  2. Open Duplicates to see rows that match a client already in Chronica, or another row in the same file. Each one says what matched, such as the same email.
  3. Leave Skip duplicates on to keep what's in Chronica and leave those rows out. Turn it off to import them as new clients alongside the existing ones.
  4. Click Import followed by the number of clients, for example Import 240 clients.

Every row is checked again when you import, so the final numbers can differ slightly from the review.

After the import

Chronica shows how many clients were Created, Skipped and Failed.

  • Rows that failed lists each row number and the problem. Click Download failed rows to get a CSV of only those rows. Fix them and import that file.
  • Rows skipped lists the rows that looked like existing clients.
  • Click View clients to see them on the Clients page, or Import another file.
Rows with problems are not imported

A row with a missing name, a phone number that isn't valid, or a client type other than Individual or Organisation is left out. Download the failed rows rather than retyping them.

Questions

Can I import matters at the same time?

No. The import adds clients only. Open matters for them afterwards from each client's page.

My file is bigger than 5 MB

Split it into smaller files and import each one.
