Manage client companies

Keep each client company's registration details, directors, shares, filings and documents on one record, typed in or read from a CAC status report.

Before you start

Companies sit in the Corporate group of the sidebar. The group shows when the firm's practice focus is Corporate & advisory or Mixed. A firm admin can change this in Settings, then Practice focus.

Company records are on every plan. The Solo plan holds a limited number of them; the footer of the Companies page shows how many your plan holds and how many you have used. See your plan and subscription to move to a plan with more.

Add a company

  1. Open Companies and click Add company.
  2. Under Start from, choose where the details come from: A client, A completed registration matter or CAC status report (PDF). Skip this to type everything in.
  3. Fill in Registration: Company name, Type, the RC, BN, IT or LLP number, the date of incorporation, Registered address, Nature of business, TIN, SCUML number and Financial year end.
  4. Under What applies to this company, switch on what is true: VAT registered, Employer (PAYE), Designated non-financial business (DNFBP) or Data controller of major importance. Add Other tags separated by commas if you use your own rules.
  5. Under Client and team, choose the Client who owns the company and the Responsible lawyer. Tick the Contacts for this company and pick a main contact.
  6. Under Reminders, choose whether to Remind the client before each filing, how to send (Email, WhatsApp, SMS) and how many Days before.
  7. Click Create company record.

The Compliance we will track card shows the filings Chronica will set up from the type and tags, and updates as you type.

Read the details from a CAC document

Choose CAC status report (PDF), pick the client under Whose company is it?, then click Upload and read. You can upload a PDF, scan or photo of the status report or certificate of incorporation. Reading it uses one AI use, and the file is saved to the client's documents. Check the confidence level and any warnings before you save.

From a registration matter

Once a registration matter's certificate is issued, open the matter and click Create company record. Chronica fills in what the matter already knows.

Many companies at once

Click Import from CSV. Upload the file (you can Download template first), match the columns, then review. Turn on Skip duplicates to leave out rows that look like companies you already have, and click Import followed by the number of companies.

Work on a company record

Open a company from the list. The tabs are Overview, People & shares, Compliance, Filings, Matters, Documents and History.

  • Edit on Registration details opens Edit registration details. Click Save details when done.
  • Add director records a new director. Switch on Track the CAC filing to add "File notice of change of directors" to the company's compliance.
  • Record share change handles an Allotment, Transfer or Increase in share capital. You can also create a post-incorporation matter with the CAC filing as a task.
  • On People & shares, Add PSC records a person with significant control.
  • Start a matter opens a matter for the company from one of your templates, linked to the record. Link a matter on the Matters tab links one you already have.
  • Add document on the Documents tab saves a file to the client's documents and links it to the company.
Who changed what

Every change to the company is kept on the History tab, with who made it and when.

Questions

Why doesn't the Next filing column show anything?

Due dates come from the compliance calendar, which is on the Chambers and Firm plans. See the compliance calendar.

Can the client see the company?

Yes, if your plan has the client portal. Switch on Show in the client portal when you create the record, or use Share with client on the Compliance tab.
