Upload and organise documents

Upload files to a matter, a client or the firm library, sort them into folders, keep every version and choose what the client can see.

Where documents live

Every document belongs to one place:

  • A matter: open the matter and go to its Documents tab. New matters start with the folders Client documents, Correspondence, Court filings, Evidence, Contracts and agreements, and Billing.
  • A client: open the client and go to their Documents tab.
  • The firm library: open Documents in the sidebar, then the Firm library tab. Use it for precedents, policies and anything that isn't tied to one matter.

The Documents page also has a Recent tab with every document across your matters, Awaiting signature for documents out for signing, and Shared with client for documents clients can see in their portal.

Upload files

  1. Open the matter, client or firm library you want to upload to.
  2. Pick a folder on the left, or stay on All documents to upload to the top level.
  3. Drag the files onto the document list. You can drop several at once.
  4. Wait for the "uploaded" message for each file.

On a client or in the firm library you can also click Upload. On the Documents page, Upload to library puts files in the library folder you have open.

Organise with folders

  • Click New folder under the folder list, enter a Folder name and click Create folder.
  • To rename or delete a folder, point at it and open its actions menu. Only empty folders can be deleted, so move the documents out first.
  • To move a document, open its More actions menu (the three dots), choose Move to folder and pick the Folder.
  • Choose Edit details to change the Name, Status, Category or Tags. Separate tags with commas.

Use the search box above the list to find a document by name.

Work on a document

Click a document to see its panel on the right. From there you can:

  • Edit online to open it in the editor in your browser. Changes save as the next version when everyone has closed it. While it is open online, uploads, check-out and signature requests are paused.
  • Download the current version.
  • Share it by secure link with someone outside the firm. You choose whether they can view only or also download, when the link expires (24 hours, 7 days or 30 days), and you can add a password or a download limit.
  • Use More actions to Upload new version, Check out, or Delete.

Check out tells colleagues you are working on the file. It stays checked out until you upload a new version or choose Release check-out.

Versions

Each upload of a new version keeps the earlier ones. The Versions list in the panel shows who uploaded each one and when. Click Restore on an older version to make it current again.

Deleted something by mistake?

Deleting a document removes it from every list and stops its share links working. The files are kept, so it can be restored later.

Share a document with the client

Only matter documents can be shown in the client portal.

  1. Select the document on the matter's Documents tab.
  2. Under Client portal, switch it on. The panel then says "The client can read this in their portal."
  3. Add a Note for your client in plain words. It shows under the document in their portal and saves when you leave the field.

Switch it off again to make the document private to the firm. Files clients upload in reply to a document request arrive in a Client uploads folder and stay private to the firm until you share them.

Questions

Who can upload and organise documents?

Anyone in your firm who can open the matter, client or library.

Can I edit a signed document?

No. Edit online is not offered once a document is Signed. Upload a new version if you need a changed copy.
